Admin Assistant
London

Reporting to the Partners, you will assist them with any administration duties as required. Reporting to the Admin Team leader, this entry level position will work across reception, providing additional secretarial support to the tax and payroll teams, and assisting the Partner and Audit secretaries. Your working week will vary according to the needs of each department and generally help to maintain the smooth operation of the London office.

 

Main Duties & Responsibilities

Secretarial/Administration

  • Typing letters, reports and other documents
  • Audio and copy typing
  • Photocopying, printing and binding
  • Maintaining filing systems and general filing
  • Managing diaries and making appointments
  • Preparing and distributing papers and documents for meetings
  • Answering the phone and dealing with queries
  • Assisting with any ad hoc duties as required (including assisting the payroll bureau team during buy periods)
  • General Administration duties i.e. setting up new files and making amendments for clients, scanning/uploading.
  • Daily banking
  • Distribution of morning post and dealing with outgoing post when required
  • Access to Document Warehouse database; ordering files and arranging collections for files to be archived
  • Setting up meeting rooms
  • Answering incoming calls (at your desk and on reception)
  • Placing food orders for meetings

  • Professional, courteous, helpful and friendly manner
  • Calm and organised approach with the ability to prioritise tasks/duties
  • Confident dealing with people
  • Flexible and happy to adaptable according to a changing workload
  • Pays attention to detail and works accurately, even under pressure
  • Trustworthy and reliable
  • Self-motivated
  • Articulate and a good communicator (verbal and written English)
  • Proficient in using a computer to at least a basic standard (Word, Excel, Outlook)
  • Ability to work on own initiative as well as part of a bigger team
  • Excellent telephone manner
  • Demonstrable customer service skills
